Questions

Short answers about what we build, where to start and what to expect.

About Apex AI

What does Apex AI do?

Apex AI is a business systems and AI practice that helps owner-run companies remove the work around the work. We put your records in one place, automate the workflows between your tools, run AI agents on top and train your team to use them.

Who is Apex AI for?

Owner‑run companies whose teams spend the week moving information between tools, such as trades, clinics, local businesses and professional firms. It fits best when you can name the workflow you'd fix first.

What does a business systems architect do?

A business systems architect maps how your tools, records and people connect, then designs the setup so data lives in one place and moves where it's needed. If you don't need one full time, we fill the role for you as fractional support.

Do you offer fractional AI support?

Yes, for companies that want ongoing help rather than a single project. We act as your part‑time business systems and AI lead, and the systems call shows whether that or a scoped build fits better.

What does it cost?

We scope each build with you and agree on the cost before we start, and fractional AI support is an option if you'd rather have ongoing help. Anyone can join Open Hours or book the 20‑minute systems call.

Do you give legal, tax or accounting advice?

No, we build operations systems, and the work a licensed professional signs stays with them.

Getting started

Where should a company start with AI?

Start with how work flows through your company today: who does what, in which tool, and where it waits. Then agree on the outcome you want, such as faster replies or less time spent on reports. The first build follows from those two answers.

What happens on the systems call?

We spend 20 minutes on which tools you pay for, which tasks wait on a person and who moves work between tools. You leave knowing where we would start.

Do we need to clean up our data first?

Not as a separate project, since cleanup is part of the first layer of what we build. We put your records in one central place and tidy them as we go.

Do we need new software?

Usually not, since most of the work connects what you already pay for.

How long does a first project take?

It depends on the workflow and the tools involved. We scope the first build with you on the call and agree on the timeline before we start.

Automation and AI agents

What is the difference between automation and an AI agent?

An automation moves information along a fixed path, such as a web form entry that becomes a record in your CRM. An AI agent reads, drafts, sorts or summarizes, which takes judgment, and your team reviews what it produces.

What is a managed AI agent?

A managed agent is an AI agent that does one defined job inside your tools, and that we watch and update as your business changes. Your team reviews its work instead of starting from scratch.

Why do some AI agent builds go unused?

An agent build can go unused when the work wasn't mapped and the outcome wasn't agreed before the build, so the agent doesn't fit how the team works. We settle both before we build.

Can AI keep our CRM up to date and prepare us for meetings?

Yes, and it's a common place to start. An agent can draft meeting prep from your CRM and email, then write the recap and update the record afterward. Your team reviews each draft before it's saved.

Can AI build the reports we redo by hand each week?

Yes, for operating reports such as job status, pipeline and team workload, when the numbers live in tools we can connect. Each report gets drafted from your own data in the format you already use, ready for someone on your team to review.

Common concerns

What if our data is messy or spread across tools?

That's a common starting point, so we map where each record lives and bring the records into one central place for the automations and agents built on top.

What if we already pay for a CRM or practice software?

That helps, since we build on the tools you have. Most of the work connects the software you already pay for, so your team keeps the screens they know.

What if our team doesn't want to change how they work?

We start with one workflow your team already finds slow, so the first change takes work off their plate. Training is part of what we build, and someone on your team owns the new way of working with our help.

What if an agent gets something wrong?

Your team approves what goes out, so a draft with a mistake can be caught before it reaches a client. We review what the agents produce and adjust them as we go.

What if we want to stop after the first workflow?

You can stop after the first workflow, and your data stays in accounts you own. You can add the next workflow later, once the first one has proven itself.

What if our IT provider already handles this?

We work alongside your IT provider. They keep your tools running and secure, and we connect those tools and build the workflows and agents on top.

What if we're worried about client data?

We sign your confidentiality terms before we see a file, your data stays in accounts you own, and your team approves what an agent sends. Our data handling page has the details.

Where we think business software is going

Where is business software going?

We think more companies will run on software tuned to how they work, instead of bending their work to fit a generic tool. In our view, AI has made that kind of software faster to build, which puts it within reach of small companies too.

Is custom software realistic for a small company?

We think so, one workflow at a time, because AI has made custom software faster to build than it was a few years ago. What it still takes is a clear map of how work flows and an agreed outcome, which is why we start there.

Will AI replace our team?

No, what we build takes repetitive work off your team rather than replacing it, so their time goes to clients, decisions and the work that needs a person. Your team stays in charge of what goes out.
